Scheduling of Examination Board – Qualification
Request a date for your master's or doctoral qualification exam. Check the requirements, mandatory declarations, committee composition, and all necessary documentation before starting the process.
Students from the Campinas unit
Students at the Campinas campus must submit their request through the official CONECTA service channel, accessing the Student Portal, locating External URLs in the left sidebar, and opening a request there. Students from other campuses continue to use this form.

Indication of the name of the course coordinator and the responsible advisor

Dissertation or thesis title must be defined (without abbreviations) — it will not be possible to change it after the defense is scheduled

Approval opinion from the Ethics Committee or Ethics Committee on Animal Use attached (file up to 300 MB)

Date requested at least 7 calendar days in advance

Session times are between 8:30 AM and 4:00 PM

Check the requirements
Confirm with your advisor that all requirements have been met: credits completed, approval from the Ethics Committee/University Research Committee, dissertation/thesis title defined, and examination committee members identified.

Confirm the availability of the stall
The advisor and the student must verify the availability of all 3 members of the examining committee for the desired date before submitting the request.

Fill out the scheduling form
Access the official form, provide your information (Student Registration Number, name, unit, course, advisor), the exam information (date, time, modality, title), and the information for the 3 members of the examining board (full name, CPF [Brazilian tax identification number], institution, and academic title).

Attach the opinion of the Ethics Committee/Ethics Committee on Animal Use
Upload the approval document from the Research Ethics Committee (CEP) or the Ethics Committee on the Use of Animals (CEUA). The file must be a maximum of 300 MB.

Read and confirm the required declarations
Before submitting, carefully read all required statements and confirm your acceptance. Submitting the form implies agreement with all institutional rules.

Please wait for confirmation from the secretary
The academic office will review the request and send confirmation. Students from the Campinas campus should open a ticket through the CONECTA channel on the Student Portal.
Mandatory Declarations
Confirmations that the Student Must Provide
- 1.
The dissertation/thesis was developed in accordance with institutional norms and the approved research project.
- 2.
The work does not infringe copyright laws.
- 3.
The document does not contain confidential information.
- 4.
Agreement to publish the work, including full name, in the institutional repository and library catalog.
- 5.
The qualifying exam is valid for one year; the defense must take place within that period or a new qualification will be required.
- 6.
The dissertation/thesis title registered during the qualification scheduling cannot be changed during the defense scheduling.
- 7.
The academic office will not process incomplete requests received less than 7 days before the scheduled date.
- 8.
The advisor and the student are responsible for notifying the examining committee members at least 7 days in advance and for sending copies of the dissertation/thesis; cancellation after confirmation will incur a fine of R$ 500.00.
- 9.
Meeting the maximum course completion deadline, returning all patient documentation, and fulfilling the service agreement.
- 10.
The student is responsible for reimbursing the expenses of external members of the examining board.

Rules for Composing the Examining Board
It is mandatory to designate 3 members, who must hold a doctoral degree. For each member, the following information must be provided: full name, CPF (Brazilian tax identification number), affiliated institution, and academic title.
