Scheduling of Examination Board – Defense

The public defense of your dissertation or thesis is the culminating moment of your graduate studies. Here you will find all the procedures, documents, and deadlines necessary to schedule your examination board at São Leopoldo Mandic.

For students at the Campinas campus, all scheduling requests must be made through the official CONECTA channel, accessible via the Student Portal (portal.slmandic.edu.br). Students from other campuses continue to use the form available on this page.

Requirements

Student Obligations and Compliance

Before requesting an appointment, the student must confirm that all the items below have been met. Incomplete requests are not accepted by the Academic Secretariat.

  • The work must be developed in accordance with institutional norms and approved by the Research Ethics Committee (CEP) or Animal Use Ethics Committee (CEUA)

  • The work does not infringe on the copyrights of third parties

  • This work does not contain any confidential information of any kind

  • Agreement to publish the work in the institutional repository and in the Library catalog

  • Validity of the qualifying exam: maximum of 1 year for the defense, respecting the maximum duration of the course

  • The title registered on the form cannot be changed after scheduling

  • The Academic Secretariat does not accept incomplete requests submitted less than 7 days before the defense date

  • The supervisor is responsible for notifying the examining committee members at least 7 days in advance and for sending copies of the dissertation/thesis

  • A cancellation fee of R$ 500.00 will be charged if the student cancels the appointment after confirmation

  • Fulfillment of the obligation to return patient documentation to the Clinic, when applicable

  • Reimbursement of travel and accommodation expenses for external members of the panel

How to Schedule

Step-by-Step Scheduling Guide

  1. 1

    Verify that all requirements have been met

    Please confirm that all required course credits have been completed, that the qualifying exam is within its validity period (up to 1 year), and that the work has been approved by the Ethics Committee or Ethics Committee on Animal Use.

    Gather the required documents

    Prepare the complete PDF of the dissertation or thesis (title without abbreviations), the approval opinion from the Ethics Committee/Ethics Committee on Animal Use, and the authorization signed by the advisor.

    Define the date, time, and format with your advisor

    Appointments must be requested at least 7 days in advance. The time slot must be between 8:30 AM and 4:00 PM. The service can be provided in person or online.

    Fill out the scheduling form

    Please provide your academic information (student ID, name, department, course, advisor, coordinator), the information for the 5 members of the examining committee (all with doctoral degrees), and upload the required documents.

    Please wait for confirmation from the Academic Secretariat

    The secretariat will verify that all requirements have been met and will confirm the appointment by email to the student, the advisor, and the members of the examining committee. After confirmation, cancellations will incur a fee of R$ 500.00.

Deadlines and Rules

Rules for Publication and Notification of the Defense

  • Scheduling must be requested at least 7 days in advance of the defense date

  • The Academic Secretariat does not accept incomplete applications submitted within the last 7 days before the defense

  • The supervisor must notify the examining committee members at least 7 days in advance and send copies of the dissertation/thesis

  • The qualifying exam is valid for 1 year for the purpose of taking the defense, respecting the maximum duration of the course

  • A defense is a public act: the date, time, and location must be widely publicized

  • The title registered on the scheduling form cannot be changed after confirmation

  • The defense must take place between 8:30 AM and 4:00 PM

  • A cancellation fee of R$ 500.00 will be applied in case of cancellation after booking confirmation

Composition of the Panel

Examining Board

The examining board must consist of 5 members, all holding a doctoral degree. For each member, the following information must be provided: type of participation, full name, CPF (Brazilian tax identification number), affiliated institution, and academic title.
